Wine Shipping Information For Chicago
Following is shipping information for Pinot Days 2007, Chicago. You may ship wines for Saturday's Grand Festival ONLY. We cannot accept wines for the other events. (You will not have access to your wines prior to the Grand Festival on Saturday.)
MARKING YOUR BOXES: You must clearly mark the outside of EVERY box that you pack. Mark boxes with the following four items, in this order:
PINOT DAYS
YOUR WINERY NAME! (Many of you operate under a company name that is different from your winery name. You must write the name of your winery clearly on the box!)
# OF PIECES IN SHIPMENT
BOX # (as in, “box 1 of 3, box 2 of 3, box 3 of 3…”)
CAUTION: Boxes that are labeled incorrectly or incompletely are likely to end up in the wrong place. Please take care in labeling.

VERIFYING RECEIPT OF YOUR WINES AT HART DAVIS HART: It is your responsibility to make sure that your wines have arrived at Hart Davis Hart by or before Wednesday, November 7th. The best way to do this is to go through your shipper and track your delivery. You may also call Hart Davis Hart at the number above, but as this is a free service, please use this as a last resort. The warehouse manager’s name is Jim Bradshaw.

Amount of Wine To Pour at The Grand Festival
Please do not consider this suggestion as fact, the amount of wine to pour at events is not a science and you should use your own discretion. If you are pouring about 1.25 ounces per pour, you have 20 pours per bottle or 240 pours per case. There will be approximately 1,200 in attendance at the Chicago Grand Festival. If you are pouring 1 wine, I would bring 1 case. If you are pouring 2-3 wines, I would bring 2 mixed cases.

When To Arrive At the Grand Festival
CHECK-IN TIMES: You may check in any time after 8:30am.
GENERAL CHECK-IN INSTRUCTIONS: Volunteers will be waiting in the loading area with hand trucks to help you to your table. However, you will not be able to enter the festival until you pick up your name badge and wristbands. You may lock your car at the loading spot and pick up your badges before you unload; just follow the direction of the volunteers as to where to leave you car. Lock it please, but do not worry - we will have professional security present in the loading area. If you have used a taxi or public transportation, please have the volunteer escort you to the check-in area and remain with you until you receive your badge and exhibitor information. The volunteer will then escort you to your table.
Set up your table as you wish. You may display order forms, mailing list sign-up sheets, flowers (but not too fragrant, please) and winery brochures. We will have one chair, a spit bucket, a corkscrew, towel, and water pitcher waiting for you at your table. If you have any issues or needs, Winery Assistant Volunteers will be wandering around for the sole purpose of assisting you. They will be wearing burgundy Pinot Days shirts and should be easy for you to identify. When you leave to park your car, please choose the spaces furthest from the pavilion so that your customers may be the lucky ones to have the preferred spaces.
Also, help yourself to coffee available to you at the entrance of the event.

Sandwiches and Food at the Grand Festival
Due to catering issues and the exorbitant costs to provide food at the facility, there will be very little food at the event and no drinking water at your exhibitor table. The Navy Pier will have a concession stand selling sandwiches and beverages.

Organizing Pinot Events Outside of Pinot Days
We cannot plead loudly enough on this – please do not organize or attend pinot events that conflict with the Pinot Days events. A few folks did this in New York (with good intentions), and it diminished attendance at our events. If you are tempted to take advantage of the fact that a large number of pinotphiles will be in San Francisco for Pinot Days, stop and consider: They are in town for Pinot Days, and if the Pinot Days events are not well attended, then we cannot produce them. Organizing an event that is focused more narrowly on one’s own winery and that runs concurrently with a Pinot Days event, though perhaps convenient, diminishes the very thing that draws all those pinotphiles to spend that weekend in San Francisco in the first place. Pinot Days is for you – please support it! Thanks in advance for your consideration on this.
For your event planning purposes, here are the times we ask you to avoid scheduling events that conflict with any of the organized events.
Chicago Hotel Information
GOOD NEWS, ACT FAST - We have held 35 rooms for you, the wineries, at the Whitehall Hotel (www.hotelwhitehallchicago.com). It is a four star hotel, and rooms usually go for upwards of $300...but not so for you. The general manager has (with some coaxing) agreed to offer us the rate of $159/night. We are only able to hold 35 rooms; the sooner you book, the more likely you are to get one of them. Call 312-944-6300, ask for "in house reservations," and say you are with "PINOT DAYS CHICAGO."
The hotel will hold these rooms ONLY UNTIL OCTOBER 12th. After that date, they will let any unbooked rooms go, so you must book before then. And consider passing a bottle of wine to the general manager, Thomas Belelieu - he has cut his rates drastically for us because he loves pinot noir.
